PURPOSE OF THE JOB
To provide high-level administrative, operational, and coordination support to the CEO and CFO to enable effective decision-making, prioritization, and execution of organizational priorities while ensuring confidentiality, efficiency, and consistency in day-to-day operations.
 
Responsibility
Executive Partnership & Trust
  • Act as a trusted partner to the CEO and CFO, ensuring priorities are clearly organized, followed through, and executed with discipline.
  • Handle sensitive information and leadership interactions with the highest level of discretion, judgement, and professionalism.
Executive Operations & Continuous Improvement
  • Prepare executive materials, correspondence, and reports that support informed decision-making and leadership effectiveness.
  • Track leadership action items, deadlines, and key deliverables, providing clear status updates and reminders to ensure closure.
Stakeholder Experience & Representation
  • Curate exceptional experiences for visiting, partners, and board members, ensuring SPOUTS is represented at its best.
  • Serve as a professional first point of contact for internal and external stakeholders, enabling clear, timely, and respectful communication.
Calendar, Travel & Priority Management
  • Own the executive calendars and travel logistics, optimizing time, sequencing commitments, and anticipating conflicts before they arise.
  • Coordinate end-to-end travel, visas, accommodation, and itineraries to ensure seamless leadership mobility.
Culture, Leadership & Strategic Support
  • Support leadership-led culture initiatives such as town halls, off-sites, and team cohesion activities that strengthen organizational alignment.
  • Contribute to strategic and special projects by coordinating inputs, tracking actions, and ensuring delivery under tight timelines.
Functional Strategic Coordination & Carbon knowledge awareness
  • Support the achievement of strategic initiatives by coordinating cross-departmental tasks and tracking project progress.
  • Develop a working understanding of the carbon business model and its role within Spouts’ operations.

REQUIREMENTS
QualificationsBachelor’s degree in Business Administration, Management, Communications, or related fieldRequired
Professional certification in Executive Assistance, Project Management, or AdministrationPreferred
Advanced proficiency in Microsoft Office Suite / Google Workspace and other collaboration tools like SlackRequired
